Reconciliation: matching the money that came in to the right owner
Where in the app: Reconciliation · Owner statement
Side menu → Reconciliation (admins only; it works on a phone but is roomier at a desk). Every deposit into the business's bank account lands here as a payment, and each one sits in one of four states, shown as the tiles in the Reconciliation overview:
- Unmatched — nobody has decided whose it is yet. Needs a match.
- Claude suggested — the AI matcher has proposed an owner but wasn't sure enough to file it alone. One tap of Accept files it; or pick the right owner, or Ignore it.
- Reconciled — signed off against an owner. It is on their ledger and pays down their balance.
- Ignored — not a customer payment (a bank fee, a personal transfer). Left off every ledger.
Payments arrive two ways: the bank feed (connect your bank once and they come in on their own every day) or a statement upload (download a CSV from internet banking and press Upload statement at the top). You can use both; the same deposit arriving twice is recognised and kept once.
How they get matched, in order:
- Remembered payers — once you've accepted a payer for an owner, their next deposit files itself.
- Autopilot — the AI matcher files anything at or above your trust level (the slider beside the Autopilot switch at the top, 90% to start). Below that it becomes a Claude suggestion for you to check. Switch Autopilot off and every match waits for you.
- You — the rest. Tap a tile (Unmatched, Claude suggested) to filter the list under Find a payment, or tap a month in Months to work one month at a time. 🤖 AI auto-match on the Unmatched tile runs the matcher over what's left.
Anything reconciled by mistake can be put back: on that owner's statement, tap Unfile on the payment (or Send back to queue from Balances) and it returns to Unmatched. The ⚙ menu has Import history (each statement uploaded, and Undo) and ▶ How reconciliation works, which opens this guide.
